Reports To:
HR Leader – Operations & Program Office
Primary objectives:
(1)Customer Support - Transaction processing of HR movements, Reporting and HR questions
(2)Data Integrity and Process Improvement across the HR function
(3)Project/Program Management – Project co-ordination and support for country/area wide initiatives
Job Responsibilities
Administration Support
HR Operations Support:
New Hires:
Contract Administration
Employee On-boarding (organising Starter Paperwork, Logistics, informing relevant parties etc)
Workman’s Compensation Administration
Transfers / Promotions:
Issuing of Employee Memos (Transfers, Promotions and Unpaid Leaves)
Terminations:
Employee Off-boarding (organising leavers paperwork, exit checklist, informing relevant parties etc)
Supporting HR Generalists and Specialists:
Staffing:
Application letter acknowledgement
Rejection letters
Compensation and Benefits:
Annual Salary Review letters / distribution
Out-of Cycle Salary Review Memos
Annual Incentive Plan distribution
Providing General Administrative duties to the HR team as required (including mail duties, invoices, scheduling of HR training rooms).
Systems and Processes
Assist in the mapping and standardisation of core HR processes across each Country / Area.
Determine opportunities for improvement in HR Processes through streamlining, automation and elimination to improve efficiency and quality.
Drive data integrity in HR Systems by supporting and educating HR generalists / specialists on requirements
Own compliance, policy changes and document accordingly
Reporting
Responsible for Monthly Census and Demographics reporting within the designated Country / Area
Identify and fulfil reporting needs of the organisation in the most efficient manner possible, including identifying key metrics or organisational business drivers to support management decision making and accountability.
Projects
Assist with regular tracking of progress on country/area initiatives
Assist in the implementation of country / area wide projects (such as Employee Action Groups, new programs – salary system, performance review system) to ensure consistent project implementation
Communication and Training:
Ongoing communication of HR initiatives, timelines, implementation and change impact to country / area.
Training HR operations on new systems, customisations, reporting capabilities and program or process related changes
Qualifications / Attributes
Strong administrative and co-ordination skills
Ability to handle multiple projects at one time
Demonstrated HRIS / Payroll systems experience
Previous exposure to human resources preferred
Tertiary skills in HR advantageous
